Udhaar (customer balances)
What is the Udhaar tab?
It is your khata. Every customer who still owes you money appears there, largest balance first, with anyone past their due date lifted into an "Overdue" section at the top. The total outstanding across all customers is shown at the top and on the Home screen.
How does a balance get created?
On the save screen after a calculation there is a "Received now" field, pre-filled with the full amount. Leave it alone for a normal, fully-paid sale. If the customer pays only part, type what they actually handed over — the remainder is recorded as udhaar against their name automatically.
You can also add a balance by hand: open the customer from the Udhaar tab and tap "Add Charge". This is how you enter money that was owed from before you started using the app.
Why does it ask for a phone number?
Customers are identified by phone number, so a balance without one could never be matched back to the right person later. If you try to leave a balance outstanding without a phone number, SwarnaPro will ask for it rather than record a debt it cannot trace.
The number is matched intelligently — "98765 43210", "+91 98765 43210" and "9876543210" are all treated as the same customer, so one person never ends up with their balance split across two records.
How do I record a payment?
Open the customer from the Udhaar tab and tap "Record Payment". Enter the amount received. The balance updates immediately, and the payment appears in that customer's statement.
Payments clear the oldest charge first, the way a running khata has always worked. That is what decides which charges count as overdue.
What is an advance?
If a customer pays more than they owe, the extra is held as an advance and shown in its own section, in blue rather than red. Money you are holding for one customer never reduces what another customer owes you — the outstanding total only counts real debts.
What does the due date do?
A due date is optional. When you add a charge you can set one; once that date passes, the customer moves into the Overdue section with a count of how many days late they are.
How does the WhatsApp reminder work?
Overdue customers show a "Remind on WhatsApp" button. It opens WhatsApp with a polite message already written, naming your shop, the amount outstanding and the date it was due. You see the message and send it yourself — SwarnaPro never sends anything on your behalf.
Backup and restore
How do I move my data to a new phone?
On the old phone, go to Settings > Export Data > "Create Full Backup" and save the file somewhere you can reach it — Files, WhatsApp, or email to yourself. On the new phone, install SwarnaPro and go to Settings > Export Data > "Restore from Backup", then pick that file.
What happens to the data already on the device when I restore?
A restore replaces everything currently on the device with the contents of the backup. Before it does, SwarnaPro automatically saves a copy of what was there, and an "Undo Last Restore" option appears in the same screen if you need to go back.
If you pick a file that is not a SwarnaPro backup, it is rejected before anything on your device is touched.
Getting started
How do I set up my shop profile?
Go to Settings and tap on your shop name at the top. Here you can enter your shop name, owner name, contact details, GST number, and configure GST settings.
How do I update daily gold rates?
On the Dashboard (Home tab), tap "Update Rates" or the rate card. Enter the 24K rate, and rates for other purities (22K, 18K, 14K) will be calculated automatically. You can also manually adjust individual purity rates.
What is the Exchange Calculator?
The Exchange Calculator handles transactions where a customer brings old gold and takes new jewelry. It calculates the old gold value, new jewelry price, and shows the balance amount to pay or return - all in one screen.
How do I create a PDF quotation?
After calculating a transaction, tap the "Quotation" button. Enter customer details (optional), and the app will generate a professional PDF with all the breakdown details. You can then share it via WhatsApp, email, or any other app.
How do making charge presets work?
Presets save your standard making charges for different jewelry types. Go to Settings > Making Charge Presets to create presets for rings, chains, bangles, etc. When calculating, simply select a preset to auto-fill the making charges.
Does the app work offline?
Yes! SwarnaPro works completely offline. All calculations happen on your device, and all data is stored locally. No internet connection is required for any feature except optional iCloud sync.
How do I enable iCloud sync?
Go to Settings > Backup and Export and toggle on "iCloud Sync". This will sync your data across all your devices signed into the same Apple ID. Make sure iCloud is enabled for SwarnaPro in your device's Settings > Apple ID > iCloud.
How do I export my data?
Go to Settings > Export Data. You can export transactions, rate history, or customer data as CSV files that open in Excel or Google Sheets. You can also create a complete JSON backup of all your data.
Can I disable GST calculations?
Yes. Go to Settings > tap your shop profile > Tax Details. Toggle off "Enable GST" to disable GST calculations. You can also adjust the GST rate if needed.
How is old gold wastage calculated?
Wastage is deducted as a percentage from the gross value of old gold. For example, with 0.5% wastage on Rs.10,000 gross value, the wastage deduction would be Rs.50, giving a net value of Rs.9,950.
What making charge types are supported?
SwarnaPro supports three types of making charges:
- Percentage: A percentage of the gold cost (e.g., 10%)
- Per Gram: A fixed rate per gram (e.g., Rs.500/gram)
- Flat: A fixed total amount (e.g., Rs.2000)
How do I delete all my data?
Go to Settings and scroll to the bottom. Tap "Reset All Data" to permanently delete all transactions, rates, presets, and settings. This action cannot be undone, so consider exporting a backup first.
